Privacy statement for Funda applicants
If you apply to Funda or are interested in our vacancies, we process your personal data. This privacy statement explains how and why we do this.
In addition, we process personal data of everyone who visits the Funda platform as indicated in our privacy and cookie policy. Please refer to these policies for more information. Please note that only functional and privacy-friendly analytical cookies are placed on our jobs.funda.nl website.
Who we are
Funda is officially registered with the Chamber of Commerce as Funda Real Estate B.V., under number 34242436. Our office is located on the Piet Heinkade 167 in Amsterdam. In the rest of this document we use our shortened and better-known name: Funda.
To whom does this privacy statement apply?
This privacy statement applies from the moment you make contact with us regarding a Funda vacancy. For example, if you ask a question about or express an interest in a vacancy, we invite you for an interview, and if your application is successful, we make you an offer.
This privacy statement applies to you until you accept our offer and join us. From that moment on, our employee privacy statement will apply.
For what purposes does Funda process your personal data?
We process your personal data for six purposes:
Enabling contact between you and Funda;
Notifying you of job alerts (if you signed up);
Assessing your suitability as a candidate and giving feedback on this;
Making special arrangements (if necessary, such as with a disability);
Applying for a residence permit and/or work permit;
Analyzing how we can improve our application process and better target job vacancies.
Below we explain why it is necessary or justified to process your personal data for each of these purposes.
Enabling contact between you and Funda
We need your contact details in order to answer your questions about a vacancy. We process your details based on our legitimate interest: we will only process your contact details to enable us to answer your questions. If you decide to apply for a job with us, we process your personal data to keep you informed of the progress of your application. We will then process your contact details in order to prepare a potential employment contract.
Keeping you informed of job alerts
Funda offers you the opportunity to be kept informed of vacancies via the job alert. You can sign up for this by filling out the online form, sharing at least your email address with us. You can also choose to indicate certain preferences, such as your preferred location, preferred department, your preference to work from home or the office, your preferred language and how often you would like to receive a job alert. We process your personal data that based on your consent that you provide to us through the online form.
Assess whether you are a suitable candidate and give feedback on this
In order to assess whether you are a suitable candidate for the vacancy you are applying for, we need to assess your qualifications, and we need to process your (personal) data to do so. You provide us with your qualifications, for example, in your curriculum vitae. If we decide to invite you, we will also test your suitability by interviewing you. To provide a more complete picture of your suitability, we also offer you the option of providing references. For certain positions, we also provide an assessment. We combine all data collected to compare your qualities with other candidates. We process the personal data provided in your resume, any (optional) references and any personal data presented to us during our interviews, provided by your references or results of assessments/competency tests in order to prepare a potential employment contract for the right candidate. It is necessary for us to do this to ensure we select the right candidate in an objective manner.
Make special arrangements (if necessary)
If we have to make special provisions (for example because you have a physical disability), we will only process your personal data in order to be able to make these arrangements. We process this data to meet our legal obligations to provide you with the, aforementioned, special provisions. You can let us know that you need special provisions during the application and/or performance of the job, either during or prior to your application. Please note: if your health is directly relevant to the position you are applying for, for example, because you cannot fulfil important parts of the job due to an illness or limitation, then you have a legal obligation to report this during the application.
Request residence and /or work permit
For some foreign employees, a residence permit and/or work permit is required. If we make you an offer and the above applies, we will only ask you for your nationality and identity documents to be able to apply for this permit. We are legally obliged to do this. We may also arrange for the reimbursement ruling, also known as the 30% facility, if you request us to do so.
Analyzing how we can improve our application procedure and target vacancies better
All personal data we obtain from you as an applicant can be used to improve our job vacancies and application process, partly on the basis of statistical research. For this research we look, for example, at the average age of applicants, popular neighbourhoods and countries where applicants are living, or patterns of skills (or lack thereof) for all applicants. These analyses and statistics are aggregated in such a way that they can no longer be used to identify an individual person. We process personal data for the aforementioned purposes on the basis of legitimate interest, in this case, we feel our business interest outweighs the limited privacy impact that this analysis at an aggregated level has for you.
Do you object to processing based on legitimate interest?
In the above explanations, our legitimate interest is mentioned several times as the basis for processing your personal data. Each time we have weighed your privacy interest against our business interests, based on normal circumstances. If you believe that there are special circumstances, as a result of which our interests should be weighed differently, then you have the right to object. You can do this by sending a message to privacy@funda.nl.
What personal data do we collect for a job application?
If you express an interest in a position at Funda, we collect the following information from you:
Contact details
We collect your name, address, place of residence, e-mail address and telephone number; this is necessary for us to contact you or to send you job alerts.
Information about your qualifications, skills and employment history
We collect your relevant qualifications and employment history as detailed in your curriculum vitae and letter of application, the information you have provided during interviews, and provided by references that you may wish to add (optional) or by contact with a sponsor, if you provide this during the application, and the results of assessments or tests (for more information see "Assessments and tests").
Assessments and competence tests
During the application we may ask you to perform competency tests or to participate in an assessment. We use the results to provide a more complete picture of your suitability for the position you are applying for. If we want to give you access to our systems for a programming assignment, it is also possible that we need your IP address.
Your availability
We always ask for your availability during the application procedure. This way we know whether your availability matches our vacancy. If we then make you an offer, we can also make agreements about a start date.
Salary wishes
During the application process there is also the option for you to make a proposal for the salary and other employment conditions that you find reasonable, with the relevant justification where possible.
Primary and secondary employment conditions
If we want to make you an offer, it is necessary to process your personal data in the primary and secondary employment conditions that form part of the employment contract.
Special categories of personal data
During your application, we will never ask about your political opinions, sexual orientation, religious or philosophical beliefs, trade union membership or ask questions concerning your health. Please note: if your health is directly relevant to the position you are applying for, for example, because you cannot fulfill important parts of the job due to an illness or limitation, then you are obliged to report this during the application.
We will also never ask for a passport photo or your identity documents during your application. We only ask for your nationality and identity documents if you need a residence or work permit to be able to work for Funda.
If you provide any special categories of personal data about yourself, for example by including a photo with your resume, we will not process aforementioned data any further, except for data concerning your health, to make arrangements for you where necessary.
